Review requests

Review requests in Drop Cowboy® send a customer a text or email with a link to rate you. Each person rates you with a thumbs up or down and can leave private feedback. Then they get the link to your Google or Facebook review page.

Set up review requests

Do this once, before you send your first request.

  1. Open Settings in the left menu. Under Email, Web & Chat, click Review Requests. Then open the Settings tab.
  2. Under Google, paste your Google Place ID. Leave Google Review URL blank to build the link from the Place ID, or paste your own link.
  3. Under Facebook, paste your Facebook Page URL. The page must have Reviews turned on in Facebook.
  4. Under Messaging, pick a Default channel, SMS or Email. Edit the SMS template and the Email template.
  5. Use {{first_name}}, {{company}} and {{review_link}} in the templates. Preview: shows how the message reads. If you leave out {{review_link}}, the link is added to the end.
  6. Under Timing, set Minimum days between requests. A contact isn't asked again until that many days pass. The default is 180.
  7. Under Review Flow, keep Review flow mode on All raters see the review link. It's marked Recommended.
  8. Click Save Settings. You'll see "Review settings saved."
  9. At the top, set the switch next to Review Requests to Enabled. It saves right away.

The other mode, Only positive raters see the review link, hides the link from unhappy raters. The screen warns that this goes against Google's review policies, and that Facebook has similar terms. To use it anyway, tick the notice and click Acknowledge and enable.

If you don't see Review Requests, ask your account owner for access.

Send a review request

Use this to ask one customer for a review, such as right after you finish a job.

  1. Open Contacts in the left menu and click the contact.
  2. Under Quick Actions, click Review. The request goes out on your Default channel.
  3. You'll see "Review request sent."

The Review button shows only when review requests are Enabled.

If it doesn't work:

  • "Reviews are currently disabled." Set the Review Requests switch to Enabled.
  • "No review destination is configured." Add a Google Place ID or a Facebook Page URL on the Settings tab.
  • "Already asked - this contact was sent a review request recently." Wait, or lower Minimum days between requests.
  • "No phone number or email address is available on this channel." Add a mobile number or email to the contact, or change the Default channel.
  • "Cannot send - opt-out or consent prevents sending on this channel." The contact opted out of this channel. See how consent works.
  • "Could not send the review request. Please try again." Try again in a minute. If it repeats, contact support.

Send review requests automatically

Use this to ask every customer at the right moment without clicking each time.

  1. Open Review Requests from Settings, then the Settings tab.
  2. Under Automation, turn on After a completed appointment. It asks for a review when an appointment is marked completed. It creates the automation Ask for a Review After an Appointment.
  3. Turn on After a closed sale to ask when a deal moves to Closed / Won in a pipeline. It creates the automation Ask for a Review After a Closed Sale.
  4. To change the wait, the message or the trigger, open Automation in the left menu and open that automation. See build an automation.

Requests sent this way still follow Minimum days between requests and each contact's opt-outs.

If it doesn't work:

  • Edit flow opens the dashboard instead of the automation. Open Automation in the left menu and find the automation by name.
  • Requests still go out after you turn a switch off. The switch unlinks the automation but doesn't remove it. Turn the automation off, or delete it, under Automation.

See review request results

Use this to check who was asked, who rated you, and who went on to your review page.

  1. Open Review Requests from Settings. The Requests tab lists each request.
  2. Filter by Outcome, Channel, From and To. Click Clear to reset.
  3. Each row shows the Contact, Channel, Sent date, Outcome, Sentiment and Platform.
  4. Open Reporting for totals: Sent, Opened, Rated and Opened review page, then By channel and By source.
Outcome What it means
Sent The request went out.
Opened The contact opened the rating page.
Rated The contact gave a thumbs up or down. Sentiment shows which.
Opened Review Page The contact went on to your Google or Facebook page.
Failed The request couldn't be sent. Check the contact's number or email, then send again.
Suppressed It was skipped, for example by an opt-out or Minimum days between requests.

Google and Facebook don't report whether a review was actually written. Opened review page is the last step you can see.
