Call tracking

Call tracking ties each incoming call to the ad, campaign or phone line that brought it. You tag numbers to your ads on a phone line, read the results on Call Tracking, and call back anyone you missed.
Track calls from your ads
Use this to show a different phone number to visitors from each ad, so you know which ad made them call.
- Open Phone Numbers in the left menu and click the phone line your ads point to. The line needs one number per ad you want to tell apart. To add numbers, see Buy a phone number.
- Open the Tracking tab. Under Number Tracking (DNI), each number on the line has a row.
- For each number, fill in the UTM Source, UTM Medium and UTM Campaign your ad uses, and a Region if you track by area. Each value must match your ad's link exactly. For example, an ad whose link ends in
utm_source=newsletterneeds UTM Source set to newsletter. - Mark exactly one number as Default. Visitors who don't match any row see that number.
- Click Save Tracking.
- Put the tracking number on your site. On a Drop Cowboy® site, see Edit your pages.
When you set up a new line with Wizard, the Tracking step asks the same thing. Pick Use these numbers with my ad campaigns to tag them there.
If it doesn't work:
- "No numbers to tag." The line has no numbers yet. Click Go to Numbers and add some, then come back.
- Every visitor sees the default number. The UTM values on the row don't match the ad link. Copy them from the ad's URL, then click Save Tracking.
See which sources bring calls
Use this to compare your ads, campaigns and phone lines by the calls they bring.
- Open Call Tracking in the left menu.
- Pick a date range: Last 7 days, Last 30 days, Last 90 days, This month, or Custom and then Apply.
- On Attribution, read the totals for Texts, Calls, Talk Time and Conversions, and the Calls chart over time.
- Scroll down for the breakdowns:

| Calls statistics by region | Where callers are calling from. |
- Open the Phone Lines tab for Phone Line Comparison, which shows inbound and outbound calls side by side for each line.
If it doesn't work:
- "You haven't set up any phone lines yet - add one to start tracking calls." Click Get Started and set up a phone line.
- Calls by Campaign is empty. None of your numbers are tagged to ads yet. Follow Track calls from your ads.
If you don't see Call Tracking, ask your account owner for access.
Follow up on missed calls
Use this to see how many calls go unanswered, then reach those callers.
- Open Call Tracking in the left menu and click the Missed Calls tab.
- Read the totals: Inbound, Answered, Missed, Abandoned, Answer Rate and Avg Speed to Answer.
- Use Missed vs Answered Over Time and Speed-to-Answer Distribution to find the hours that need more people.
- Check By Number and By Route to see which numbers and phone lines miss the most calls. Then change who answers that line, or its hours, in Set up a phone line.
- To call people back, open Make Calls. Under Recent Calls, missed calls are marked Missed Call. Click the call or text button on the row. Missed calls also arrive in Inbox for your team to pick up.
Text back every missed call
- Open Phone Numbers in the left menu, click the phone line, and open the Settings tab.
- Under Missed Call Text Back, click Set Up Text Back. The automation builder opens with the text-back steps in place.
- Write your message and turn the automation on. Until you do, it doesn't text anyone.
- Back on the line, the card shows Installed: and the automation's name. Click Open Automation to change it later.

If it doesn't work:
- "Assign a text campaign first." The line can't send texts yet. Click Go to Text Campaign and send texts from a phone line.
- "You already text back every missed call." An automation already texts missed callers on every phone line, so another one would send two texts. Click its name under the warning and edit that one instead.
- "Unable to load missed-call data. Try refreshing the page." Refresh the page. If it keeps happening, pick a shorter date range.
