The Drop Cowboy® dialer calls through your opted-in contact lists from the browser, one contact after another or several at once. You save an outcome after each call, and answered calls can be recorded and transcribed.

Make calls with the dialer

Use this to work through a list of contacts who agreed to hear from you.

  1. Open Make Calls in the left menu. The page is titled Dialer.
  2. Under Callable Lists, click the list to call. Only lists marked Callable can be dialed. To make one, build a list from opted-in contacts.
  3. Click Start Dialing. The phone panel opens and calls the first contact.
  4. Talk to the contact. The caller ID is the number on the list's phone line closest to the contact. See Choose the caller ID people see.
  5. If the list has a call script, it shows in the phone panel. See Write a call script.
  6. When the call ends, pick a Call Disposition and add notes. Click Save & Continue for the next contact, or End Session to stop.

When the dialer picks the next contact from a list, it skips anyone outside federal and state-specific calling hours. Calls you dial by hand follow Manual Dial TCPA Hours in Set dialer rules. See How calling hours work.

If it doesn't work:

  • "List is not callable." Pick a list marked Callable.
  • "List has no contacts." Import contacts into the list.
  • A window offers an upgrade instead of dialing. Your seat doesn't include automated dialing. Click Click to Call to call one at a time, View Subscriptions to upgrade, or Request Dialer Access to ask your account owner.
  • Save & Continue stays gray. Your team requires a disposition or notes. Fill them in, then click it again.

If you don't see Make Calls, ask your account owner for access.

Choose a dialing mode

Use this to decide how many contacts the dialer calls at once.

  1. Open Make Calls in the left menu and click a list under Callable Lists.
  2. Open the list's contacts and click the headset button, Work this list.
  3. Pick a mode:
Mode What it does
Click to Call You click each contact to call them. Nothing dials on its own.
Auto Calls the next contact as soon as you finish the last one, like a power dialer.
Predictive Calls several contacts at once and connects you to the first one who answers.
  1. Click Stop when you're done working the list.

A grayed-out mode shows Disabled in Dialing Rules. To allow it, see Set dialer rules.

Set dialer rules

Use this to set how the dialer behaves for every list, including the contact frequency limit.

  1. Open Settings in the left menu, then click Dialer Settings. The page is titled Default Dialing Rules.
  2. Change the sections you need:
Section What it controls
Return Phone Line & Caller ID The phone line that takes return calls and texts. Caller ID comes from that line's numbers.
Dispositions The outcomes agents pick after a call, and any automations they start.
Announcements Which contact detail is read to you as each call connects.
Voicemail Drop The recording that plays when you reach an answering machine.
Call Recording & Transcription Whether answered outbound calls are recorded and transcribed.
Agent Status Visibility How each agent's status shows on their screen: Off, Subtle or Maximum.
  1. Open Advanced. Fields to Dial sets which phone fields the dialer calls. Predictive Line Count and Allowed dialing modes control the dialing modes. Callable Hours, Minimum Time Between Calls (hours) and Give Up After (# of calls) are shown for reference and can't be changed.
  2. Set the contact frequency limit with Max Contacts and Within Days. It always applies to automated dialing and bulk campaigns. Switch on Limit Manual Dial Frequency to apply it to hand-dialed calls too.
  3. Switch on Require Disposition or Require Notes to make agents fill those in before saving a call.
  4. Click Save Changes.

To change the rules for one list, open it under Callable Lists and click Dial Rules. Those rules override the team default.

Manual Dial TCPA Hours sets what happens when you dial a contact by hand outside calling hours. Off, the default, doesn't check. Warn shows a warning but lets you dial. On (block) stops the call. For Litigator Scrub and the consent switches, see How consent works and Check numbers before you call.

If it doesn't work:

  • The switches are gray. You can view the rules but not change them. Ask your account owner for edit access.
  • Calls to a contact stopped. The contact reached your contact frequency limit or Give Up After (# of calls). Wait for the Within Days window to pass, or raise Max Contacts and click Save Changes.

Find call recordings

Use this to play back a recorded call or read its transcript.

  1. Open Settings in the left menu, then click Call Recordings.
  2. Under Recorded Calls, use Filter by rep to see one agent's calls. Use View: to switch between Default, New, Hidden and All.
  3. Click play on a row to listen.
  4. Open the row's Actions menu and click Show transcript to read the Call Transcript, or View contact to open the contact.
  5. Click Hide to move a call out of the default view. Click Unhide under Hidden to bring it back.

Outbound recording (team default) at the top of the page shows whether dialer calls are recorded. Change it under Call Recording & Transcription in Set dialer rules. Some states require everyone on a call to agree before it's recorded, so check the rules for each place you call.

If it doesn't work:

  • A call has no recording. Recording was off for that list or team when the call was made. Switch on Call Recording & Transcription for future calls.
  • A call is missing from the list. Clear Filter by rep and set View: to All.
