Campaign results and fixes

Every campaign in Drop Cowboy® has a results panel with counts, a result for each contact, and a timeline.

See campaign results

Use this to check how a campaign went and who to follow up with.

  1. Open Campaigns in the left menu. Use All, Active, Scheduled and Completed, or Search campaigns..., to find the campaign. Click it.
  2. Under Showing data for:, pick a range, such as Today or All Time.
  3. Overview shows Total Sent, Pending, Failed and Responses. Results update on their own every few minutes.
  4. Status shows Delivery Status, the most common results. Click one to list those contacts under Deliveries.
  5. Deliveries lists each contact with their Phone, Caller ID and Status.
  6. Timeline charts sends over time. Geo shows Regional Breakdown and Engagement, including Callbacks, Text Replies and Opt-outs.
  7. To download results, click Export. Choose All delivery results or Carrier rejections only (SIP 603+). The file downloads when it's ready.

Delivered shows only for RCS texts and email, where the phone or inbox confirms receipt. For email counts, see Track opens and clicks.

What each result means:

Result What it means Try this next
Success The ringless voicemail, text or email went out. Nothing. For ringless voicemail, you can play proof of delivery.
Sent A voice broadcast played your message, and nobody pressed a key. Nothing.
Voicemail A voice broadcast reached voicemail and left your voicemail message. Nothing.
Confirmed, Transferred A person pressed a key to confirm or to reach you. Check the inbox or phone line the call went to.
Opted Out A person pressed the opt-out digit. Leave them off future calls. See how consent works.
VoiceMail Full, VoiceMail Not Setup The mailbox couldn't take a message. Reach them on another channel they agreed to, such as a text.
VoiceMail Not Detected The line answered, but no voicemail greeting was found. Try again at another time of day.
No Answer, User Busy, Busy, Timeout The call didn't connect this time. Try again later, inside their calling hours.
Spam detected, Network Blocked The carrier blocked the call as unwanted. Check number reputation, or send from another phone line.
Carrier Intercept The carrier played a message, usually for a disconnected or changed number. Confirm the number with the contact.
Call Screening Detected, Reached Automated Menu The call reached a screening service or a phone menu. Try a text or email instead.
TCPA Hours It was outside the contact's federal and state-specific calling hours. Voice sends wait and go out later. Resend texts inside their hours.
Too Many Attempts The number reached your contact frequency limit. Wait, or change the limit.
Internal DNC, Opt-in Revoked, Opt-in Flagged The contact is on your do-not-contact list, or withdrew consent. Don't resend. See add numbers to your do-not-contact list.
Opt-in Missing, Opt-in Pending No confirmed consent is on file for this channel. Record the contact's opt-in, then resend.
Phone number not valid, Not Mobile The number can't take this send. Fix the number on the contact, or use another channel.
No Funds Your balance ran out. Add funds, then resume.
Phone Line Has No SMS Campaign, Unregistered Brand The phone line or brand isn't registered for texting. Register your SMS campaign and attach it to the line.
Hard Bounce, Spam Complaint The address bounced for good, or the person marked you as spam. They won't get your emails again. Ask the contact for a new address, or leave them off.
Soft Bounce The address bounced for a temporary reason. Try again later.
Recipient Opted Out Of Email, No Email Consent On File The contact opted out of email, or has no email consent. Don't resend unless they opt in again.

To give failed contacts a next step automatically, follow up when a send fails.

If you don't see Campaigns or Campaign Archives, ask your account owner for access.

Play proof of delivery

Proof of delivery is a recording of your message being left on a contact's voicemail. Ringless voicemails have one, and so do voice broadcast calls that reached voicemail. Use it when a contact or client asks whether a message was left.

  1. Open Campaigns in the left menu and click a ringless voicemail or voice broadcast campaign.
  2. Open Deliveries.
  3. In a row's Status, click the play button, Play proof of delivery. Click it again to pause.

A Success row plays the contact's voicemail greeting, then your message. A VoiceMail Full or VoiceMail Not Setup row plays the carrier saying why the mailbox couldn't take it. The recording is available for 7 days.

If it doesn't work:

  • A row has no play button. That send has no recording. Texts and emails never have one, and a voice broadcast row has one only when it reached voicemail.
  • The button says Recording unavailable. The recording couldn't load. For a send in the last 7 days, wait a few minutes and try again.

Schedule or pause a campaign

Use this to send later, slow down, or stop a campaign for now.

  1. Open Campaigns in the left menu.
  2. To send later, set it up in the campaign wizard. On When should we send?, choose Spread over time and set a Start date. The campaign shows Scheduled until it starts.
  3. To pause, click the campaign. Under Campaign Control, click Pause. Click Resume to carry on.
  4. To pause several, tick them or click Select all. Click Actions, then Pause or Resume.
  5. To change how fast a spread-out campaign sends, click Change Speed, move the slider, and click Save.

If it doesn't work:

  • You can't change the list, message or schedule. A running campaign keeps those. Click Clone to start a new campaign with the same setup, then change it.
  • Resume isn't there. The campaign is In Review and sends once the review is done. See Fix a campaign that is not sending.

Fix a campaign that is not sending

Use this when a campaign stays put, or contacts say they didn't hear your message.

  1. Open Campaigns in the left menu and click the campaign.
  2. Read its status, next to the name:
Status What it means Try this next
Draft It was never launched. Click Continue Editing and finish the wizard.
Scheduled, Not Started It's waiting for its start date. Wait, or pause it and change the start.
Paused Someone paused it. Click Resume.
Low Credit Your balance ran out mid-send. Click Add Funds. See find out why sending paused.
In Review It's waiting for review before it sends. Wait. If it stays, contact support.
Active, with counts that don't move Contacts are waiting for calling hours in their time zone, or it's spread over time. Check back later. Counts update when sending resumes.
  1. On Status, read Delivery Status to see which results are holding contacts back. Each one has a fix in See campaign results.

A contact says they didn't hear the voicemail

  1. Find the contact under Deliveries and read the Status.
  2. For Success, play proof of delivery. If it plays your message, ask the contact to check their voicemail again.
  3. For Spam detected, Network Blocked or Call Screening Detected, check number reputation and try another phone line.
  4. For VoiceMail Full or VoiceMail Not Setup, reach them on another channel they agreed to.

Download campaign archives

Use this to keep a nightly file of every campaign's results, or to load it into your own systems.

  1. Open Settings in the left menu. Under Data & Content, click Campaign Archives.
  2. Under Report Delivery Window, pick a time in Delivery Window (Pacific Time). Each report covers the previous day.
  3. Under SFTP Access, turn on Enable SFTP Access to Campaign Archives. Existing archives copy over too, which can take several minutes.
  4. Connect to ftp.dropcowboy.com with your SFTP credentials from API Keys.
  5. Open /reports/latest/csv/campaigns.csv for the newest report. Older ones sit under /reports/ by date, in CSV and NDJSON.

If it doesn't work:

  • You want to turn SFTP access off. The switch stays on once enabled. Contact support to turn it off.
  • Today's file isn't there. Reports are ready within 3 hours of the time you picked. Check again later.
